Getting startedSet up your companyStart with your company details, accounting choices and invoice payment details.
- Open Accounting setup. A company administrator can complete the settings; other staff can ask their administrator for help.
- Follow Company details to check your company name, address, country code, registration number and invoice appearance, then save the settings.
- Review Accounting setup for your currency, chart of accounts, account mappings and VAT choices.
- Under Banking and payments, add the payment instructions or bank details you want customers to see on invoices.
- Open First invoice preview and review the sample before creating a real invoice.
Good to knowThe preview creates and sends nothing. Bank connections, webshops and other integrations are optional. Configured means settings are saved; it does not verify an external connection or official registration.

Everyday accountingCreate a quote, then an invoicePrepare a draft, review it, and turn it into a customer invoice when you are ready.
- Ask a company administrator to open Quotes & Estimates after reviewing the company and accounting setup.
- Enter the customer, date and currency. Add the product or service lines and check quantities, prices and tax.
- Choose Create Quote to save a draft, then use Open in Recent Quotes to review it.
- When the quote is ready, choose Convert to invoice. This posts a customer invoice and its sales journal.
- Open Accounts Receivable to find the invoice. Use Open, Overdue or All and Filter, then View to inspect its outstanding amount and recorded payments.
Good to knowCreate Quote saves a draft. Convert to invoice is a real accounting action. Review the separate email form before sending; an unpaid invoice is not always overdue.
Everyday accountingAdd and review supplier billsRecord a bill your business receives and understand when it enters the accounts.
- An administrator, manager or accounting staff member opens Add supplier bill with the original bill at hand.
- Enter Vendor, Date, Due, Total, Tax, Currency and Expense Account. If you use Extract, review every suggested field.
- Check any foreign-currency amounts and exchange rate, then resolve duplicate warnings before continuing.
- Choose Create Bill only when the details are ready. It posts the bill and accounting journal immediately.
- For bills collected into the incoming approval queue, an administrator or manager uses Review incoming bills instead. Check the original evidence and details before approving or correcting the item.
Good to knowCreating or approving a bill records it in the accounts; it does not pay the supplier. Keep the original document and check whether the bill is already recorded before adding it.
Everyday accountingReview payments and bank matchesCompare payments with your invoices and bills without recording the same payment twice.
- Open the customer invoice or supplier bill and review its outstanding amount and existing payment records.
- If bank transactions have been imported, open Bank Reconciliation and find the transaction using the page filters.
- Compare its amount, date and reference with the invoice or bill, then review the existing match and posting status.
- Use the available matching controls only after checking the details. Imports can already have matched and posted eligible payments, depending on your settings.
- If a real payment still needs recording, use Record payment on the invoice or bill with the actual amount, date and reference. For a partial payment, record only the amount paid.
Good to knowRecording or matching a payment does not transfer money. Bank access depends on your permissions and setup; connecting a bank is optional. Recorded balances are not a live reading of your bank account.
Everyday accountingUnderstand your reportsChoose the dates, review the recorded figures and export the report you need.
- With accounting access, open Accounting and choose the reporting dates.
- Review the trial balance, debit and credit totals, and balance checks. Use Download trial balance for that report.
- For assets, liabilities and equity at one date, open Balance Sheet, set As of and choose Apply.
- For VAT figures, open the VAT report and choose the reporting period. Review any exceptions and migration-period warning.
- Check the selected dates before using an available CSV or Excel export. Ask your accountant about figures or accounting choices you do not understand.
Good to knowReports reflect recorded accounting data. A report export is a specific dataset, not a complete backup. Recording a VAT return as filed in Kaupify does not submit it to a tax authority.
Team and migrationGive your team the right accessLet an administrator add staff and choose which parts of Kaupify they can use.
- A company administrator opens Users.
- Add the staff account or select the existing person you need to update.
- Review the person's details and module permissions, then save the changes.
- Ask the staff member to sign in and check that the pages they need are available. An administrator can review permissions if a page is missing or says Forbidden.
Good to knowKeep passwords and personal PINs in the dedicated account forms. Clearing every permission box falls back to Operations access; ask an administrator to arrange access removal instead.
Team and migrationMove from another accounting systemBring reviewed source exports into Kaupify and compare the results before confirming.
- An authorized administrator gathers the supported CSV exports from e-conomic, Visma or the previous system and keeps the original files.
- Open Move to Kaupify, upload the source exports and choose the cutover date.
- Map the source columns and accounts, then run Preview.
- Resolve errors and compare the source totals before using Confirm import for the current preview.
- Treat historical documents as a separate archive task. Review the archive's coverage report and retain the original export.
Good to knowMigration supports master data and opening positions; it does not promise every historical transaction or source-system feature. The historical collection form supports enabled e-conomic connections; Visma uses reviewed CSV and source-file uploads.
Help and supportGet help from a personSend a question, report a problem or request a call, then follow the conversation in Kaupify.
- When signed in, open Contact Kaupify. You do not need to ask the assistant before contacting support.
- Choose New request and select Help, Report a problem, Complaint or Request a call.
- Enter a short subject and explain what happened, what you expected and the page where you got stuck.
- Choose Send request, then return to the conversation for replies. You can add a screenshot after creating the request.
- If you have not signed in, use the website contact form to send a question or ask for a demo.
Good to knowSend a message any time. Normal support hours are Monday-Friday, 08:00-22:00 Faroese time; messages outside those hours wait for the next support session. Leave out passwords, bank credentials and payment-card details.
